Terms of Service
Effective 10 July 2026
The human version (the legal version follows):
- Your data is yours. Export it anytime, delete any record in the app anytime, and ask us to delete your whole account whenever you like (we do it within 30 days).
- Almanac organises your spending. It isn't tax, financial, or legal advice.
- The Business plan has a real 14-day free trial and you can cancel anytime.
- Don't abuse the service; we'll be straight with you in return.
- Nothing in these terms takes away rights you have under Australian Consumer Law.
1. Who we are
Almanac ("Almanac", "we", "us") is operated from Australia as a sole-trader business. You can reach us anytime at hello@almanac.report. These Terms of Service ("Terms") are an agreement between you and us and govern your use of the almanac.report website and service (the "Service"). By creating an account or using the Service you agree to these Terms.
2. What the Service does
Almanac turns order-confirmation emails that you choose to forward or paste into a categorised record of your spending, and provides related tools: spending graphs, a subscription tracker, spreadsheet exports and a live spreadsheet feed, and (on the Business plan) GST expense summaries, invoice generation, and client tagging.
The Service extracts information (items, prices, dates, order numbers) from text you provide. Automated parsing is not perfect: you are responsible for checking that extracted amounts and details are correct, and the Service lets you edit or delete any entry.
3. Your account
You need an account to use the Service. Keep your login credentials secure. You are responsible for activity that happens under your account, except to the extent it results from our own failure to appropriately secure the Service. You must provide a valid email address, and you must be able to form a binding contract (in Australia, generally 18 or older) to purchase a paid plan.
4. Your data
You own your data. The purchase records, subscriptions, invoices, business details and tags you store in Almanac are yours. You grant us a limited licence to store and process that data solely to provide the Service to you. We do not sell your data and we do not use it for advertising.
You can export your data at any time (xlsx download and CSV feed). You can delete individual records in the app at any time, and you can ask us at hello@almanac.report to delete your account and associated data, which we will do within 30 days, keeping only minimal records we are legally required to retain (such as records of payments). Our Privacy Policy explains what we collect and how we handle it.
5. Forwarded emails
When you forward an email to your personal Almanac address, you authorise us to process its contents to extract order information. Only forward emails you have the right to share: your own order confirmations, or those you are authorised to manage. Extracted purchase records are stored in your account; we do not republish email contents.
6. Plans, trials and billing
The core Service is free. The Business plan is a paid subscription (currently A$4.99/month or A$39/year) that unlocks business tools. Prices are shown in Australian dollars at checkout. Almanac is not registered for GST, so no GST is added to these prices.
New Business subscriptions include a 14-day free trial. You will not be charged until the trial ends, and cancelling during the trial costs nothing. The trial applies once per customer. Subscriptions renew automatically at the end of each billing period until cancelled.
Payments are processed by Stripe; we never see or store your card number. If we change subscription pricing, we will give existing subscribers at least 30 days' notice by email before the new price applies to them, and you can cancel before it takes effect.
If a renewal payment fails, Stripe will retry your card. If payment still can't be completed, your Business features pause and your account reverts to the free plan. Your purchase records, invoices and exports stay available, and you can restore Business anytime by updating your card in Manage billing.
Stripe emails a receipt for every payment, which is also available under Manage billing.
7. Cancelling and refunds
You can cancel anytime via Manage billingin the app (or by emailing us). When you cancel, your Business features remain active until the end of the period you've paid for, and you keep access to your data and exports on the free plan afterwards.
If something isn't right, email us within 14 days of a charge and we'll work it out, including refunds where reasonable. Nothing in this section limits your rights under Australian Consumer Law (see section 12).
8. Not tax, financial or legal advice
Almanac is a record-keeping tool. It does not provide tax, accounting, financial or legal advice. In particular:
- The GST expense report is an estimate. It assumes flagged purchases include 10% GST, which is not true of all goods (for example, GST-free basic groceries). Confirm figures with your accountant before using them in a BAS or tax return.
- You are responsible for the accuracy and legal compliance of invoices you generate (including whether you are required to be registered for GST, and the correctness of your ABN and business details).
- Budget totals depend on data you provided and verified.
9. Acceptable use
You agree not to:
- use the Service for anything unlawful, or to infringe anyone's rights;
- forward or paste content you have no right to share, or another person's emails without their authority;
- attempt to breach, probe or overload the Service's security or infrastructure, or access another user's data;
- resell or white-label the Service without our written agreement.
We may suspend or terminate accounts that materially breach these Terms. Where reasonable, we'll warn you first and give you a chance to export your data.
10. Feed tokens and security
Your live spreadsheet feed URL contains a personal access token: anyone with the full URL can read your purchase feed. Treat it like a password. If it leaks, contact us and we'll rotate it. We protect your data with industry-standard measures (encrypted transport, isolated per-account storage), but no online service can guarantee perfect security.
11. Availability and changes to the Service
We aim to keep Almanac available and improving, but we don't guarantee uninterrupted service. Maintenance, outages of our providers, and plain bad luck happen. We may add, change or remove features. If we ever discontinue the Service or remove a feature material to your paid plan, we'll give you reasonable notice and time to export your data, and a pro-rata refund of any prepaid period.
12. Australian Consumer Law
Our goods and services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these Terms excludes, restricts or modifies any consumer guarantee, right or remedy you have under the Competition and Consumer Act 2010 (Cth) or other applicable law that cannot lawfully be excluded.
13. Liability
Subject to section 12: the Service is provided "as is"; we are not liable for loss arising from inaccurate parsed data you did not verify, from decisions made in reliance on estimates the Service clearly labels as such, or for indirect or consequential loss; and our total liability in connection with the Service in any 12-month period is capped at the greater of A$50 and the amounts you paid us in that period. Where the law allows liability to be limited to re-supply (which may not apply to services acquired for personal, domestic or household use), we limit it to re-supplying the Service or paying the cost of re-supply.
14. Ending the agreement
You can stop using Almanac and delete your account at any time. We can terminate with 30 days' notice (with a pro-rata refund of any prepaid, unused period), or immediately for material breach of these Terms. Sections that by their nature should survive (your data rights, liability, governing law) survive termination.
15. Intellectual property
We own the Service (its software, design and branding) and grant you a personal, non-transferable right to use it under these Terms. Your data is excluded from this section: it stays yours (section 4). If you send us feedback or suggestions, we may use them to improve Almanac without obligation to you.
16. Changes to these Terms
We may update these Terms from time to time. For material changes we'll notify you by email or in the app at least 14 days before they take effect. If you keep using the Service after that, the new Terms apply; if you don't agree with a change, you may cancel and we'll refund any prepaid, unused period.
17. General
If part of these Terms is found unenforceable, the rest still applies. A failure to enforce a right isn't a waiver of it. You may not assign this agreement without our consent; we may assign it to a successor of the Almanac business, with notice to you. These Terms (with the Privacy Policy) are the entire agreement between us about the Service.
18. Governing law and contact
These Terms are governed by the laws of New South Wales, Australia, and disputes are subject to the non-exclusive jurisdiction of its courts. Questions, complaints, requests: hello@almanac.report (a human reads it).
